How this operator works

every way of working, already decided
A · capability focus

Owns the system, not the ticket

Takes end-to-end ownership of a service or surface. Design, delivery, on-call. And is measured on outcomes, not hours.

B · ways of working

Embedded, async-first, instrumented

Works inside your repos, your CI and your rituals. Daily written standups, decisions logged. No status-meeting tax.

C · reliability posture

Runbooks, canaries, reversible deploys

Every change gated and reversible. Incidents get a timeline and a postmortem; nothing ships without a rollback.

D · comms & cadence

Plugged into your Slack & rituals

Joins standups and retros, reports weekly against the goal. You get an operator, not a queue.

E · tooling

Brings a pre-wired stack or adopts yours

Infrastructure and observability as code by default. No bespoke setup tax to absorb.

F · onboarding

Scoped, gated, reversible

Week-1 shadow, week-2 ownership, swap on request inside the trial window. No long-tail handover risk.

Overview

Billing is where SaaS products leak quietly: customers on legacy plans nobody can explain, entitlements that drift from what was paid for, failed payments that nobody chases, and a finance team reconciling Stripe against the database by hand. The SaaS Billing & Subscription System builds the machinery properly — one source of truth from plan definition to payment to what the product actually enforces.

The finish state is billing that runs itself: customers subscribe, upgrade, and downgrade with correct proration; entitlements update the moment billing state changes; failed payments follow a dunning path; and finance gets invoices and revenue data they can trust.

·

What's included

Plans & Subscriptions

Your pricing modelled as configuration, not code — plans, tiers, trials, and add-ons — with subscription state managed through a provider such as Stripe.

Entitlement Enforcement

What each plan grants, enforced in the product: features, seats, and limits that update automatically when a subscription changes, with no drift between paid and delivered.

Billing Lifecycle

Upgrades and downgrades with proration, cancellations, renewals, failed-payment retries and dunning, and the webhook handling that keeps product state and billing state agreeing.

Invoicing & Payments

Invoices, tax handling through the provider's tooling, payment methods, and receipts — plus the events your accounting system needs for clean reconciliation.

·

How it works

  1. Scope — Fix the pricing model, the entitlement map per plan, the lifecycle policies, and the migration path for existing customers.
  2. Build — Land the provider integration and entitlement layer, then the lifecycle flows, tested against the full subscription state machine.
  3. Handover — Existing customers migrated, finance reporting connected, and the plan configuration handed to your team.
·

Part of every Delivery Plan

The SaaS Billing & Subscription System is a menu item on the Scrums.com delivery catalog, available at every plan tier. Add it to your plan backlog and your delivery team schedules it like any other item — scoped, tracked, and reported through the SEOP. See Delivery Plan Tiers.

FAQs

We already bill through Stripe. What does this add?

Stripe holds subscriptions; it does not enforce entitlements in your product, keep your database honest, or run your upgrade policies. The sprint builds that layer — and usually cleans up the accumulated plan sprawl while migrating onto it.

Can it handle usage-based pricing?

Seat- and tier-based pricing with limits is in scope here. Metered, usage-based commercial rules are their own machinery — that is the SaaS Usage Metering & Quotas item, which builds on this system.

How do you migrate existing subscribers safely?

Mapped plan by plan in scoping, executed with no interruption to access and no surprise charges — grandfathering is modelled explicitly where you choose to keep legacy terms.
